Contribution tracking sounds simple until members pay late, pay partially, or dispute whether they paid at all. Where contribution records go wrong
A member says they paid UGX 200,000 last month. The treasurer's spreadsheet shows UGX 150,000. There is no way to prove who is right because the payment was confirmed via a WhatsApp screenshot that has since been deleted.
The contribution deadline is the 5th of each month. Three members paid on the 8th. Should they be fined? The treasurer applies fines inconsistently — sometimes forgetting, sometimes rounding, sometimes waiving without a record.
A member pays UGX 300,000 but owes UGX 50,000 in fines and UGX 100,000 in contribution arrears. The treasurer puts the full amount toward savings. The fines and arrears remain unpaid, and no one notices until the year-end review.
