Where contribution records go wrong
A member says they paid UGX 200,000 last month. The treasurer's spreadsheet shows UGX 150,000. There is no way to prove who is right because the payment was confirmed via a WhatsApp screenshot that has since been deleted.
The treasurer has to go through each member's record at the end of every month, check who paid on time, calculate the fine for each one who didn't, and add it to their balance. With 20 members, that's 20 checks, and any one of them can be missed or miscalculated.
A member pays on the 31st. The treasurer records it under next month instead of the current one. The member shows as late for this month and overpaid for next month, and neither of them catches it until reporting.
